At HiPEAC, we’re committed to protecting and respecting your privacy.

This Policy explains when and why we collect personal information about people who visit our website, how we use it, the conditions under which we may disclose it to others and how we keep it secure.

We may change this Policy from time to time so please check this page occasionally to ensure that you’re happy with any changes. By using our website, you're agreeing to be bound by this Policy.

How do we collect information from you?

We obtain information about you when you use our website, for example, when you register for an account or a HiPEAC event.

What type of information is collected from you?

The personal information we collect might include your name, affiliation, email address, and information regarding what pages are accessed and when, among other information. You make the decision whether to proceed with any activity that requests personal information. If you do not wish to provide the requested information, however, you may be unable to use our services.

We use this information to understand better the demographics of the HiPEAC community and to send you relevant information about HiPEAC and the HiPEAC events you might be attending.

We will never share this information with third parties, but some of the information might be visible on your public HiPEAC profile. You can disable your public profile via your privacy settings.

How is your information used?

We may use your information to:

  • Set you up with an account at hipeac.net
  • Process your registration for HiPEAC events
  • Send you communications related to events you might be attending
  • Enable users and HiPEAC to interact and communicate with each other
  • Provide support

We review our retention periods for personal information on a regular basis. We will hold your personal information on our systems for as long you maintain an account with us in good standing. You may request to cancel your account at any time, at which point we will permanently anonymize your information on our system.

Use of Cookies

When you visit hipeac.net we may store information about your web session and assign you one or more 'cookies' Your browser will store these cookies on your computer in a small text file. For example, when you decide to login as a hipeac.net user, we store encrypted information in your browser so you don't have to login on every page.

Permanent cookie files remain on your computer's hard drive until you delete them manually using your browser or operating system software. You can enable your browser to refuse cookies, but doing so may disable access to some services and tools that we offer.

Age restriction

In principle, our services are not directed to persons under 16 years of age.

Anyone using hipeac.net warrants and promises that they are 16 years of age or older. HiPEAC does not intend to collect personally identifying information from anyone under the age of 16. If you are under the age of 16 we ask that you do not use this web service.

Persons under the age of 16 are not admitted to HiPEAC events. Anyone who becomes aware that someone under 16 years of age has provided HiPEAC with personal data without parental agreement should contact us.

Security

We use physical, technical, and administrative measures to safeguard information in our possession against loss, theft and unauthorized use, disclosure, or modification. Please note, however, that no data transmission or storage can be guaranteed to be 100% secure. As a result, while we strive to protect the information we maintain, we cannot ensure or warrant the security of any information that you transmit to us. If you identify any weakness in our security, please inform us.

Data Subject rights

Users have rights on their personal data. You may contact us in order to assert your rights as a Data Subject, including the right to access, rectify, erase your personal data; the right to withdraw consent and to restrict or object to the processing of your personal data; and the right to portability of your personal data. Data Subjects also have the right to lodge a complaint with a supervisory authority in case their rights would be violated.

If you are subject to the GDPR, you have the right to request your data to be sent to you upon request. You may request your data by reaching out to privacy@hipeac.net. At which point we will email you back your requested data as a JSON file.

You may request at any time to have your account deleted. Your personal data will be permanently removed from our services but some anonymized data may be retained by HiPEAC after account deletion.
