FAQs for PhD students: HiPEAC Industrial Mobility Programme

Who can apply?

To be eligible to apply for the HiPEAC Industrial Mobility Programme, you must be currently studying at a European institution for a PhD or Masters level.

How do I apply?

In order to apply, just follow the instructions given by the company at the internship description.

When do I apply?

The call will be permanently open till 28 February 2020. There will be regular cut-off dates to assess the evolution of the mobility programme

When should PhD mobility take place?

Exact dates for the internships are flexible, depending on the availability of both student and company. They should start after the formal acceptance, have a duration of 3 months and finish before the end of each year till 28 February 2020. A student and a company can agree to longer internships outside of the HiPEAC framework.

What can be funded?

Every company will fund according to their internal best practices.

HiPEAC will fund SME’s and start-ups (250 employees or fewer), one internship per company per year. HiPEAC grants consists of a daily allowance of 70 EUR for max. 90 days (up to 5.000 €) and a max. travel cost reimbursement of 500 EUR – which will be paid directly to the student or to the company. The grant amount may differ if the company agrees with the student other conditions. In this case, HiPEAC must be notified.

How does the selection process work?

Companies will describe in each of the internship positions the selection procedure and criteria for assessing the suitability of the candidates: including requirements, skills and qualifications needed.

Students should follow the instructions provided at each internship description. Companies may contact the candidates and/or their supervisors to request further information about the CV or to arrange a brief interview according to their own internal practices Companies will have to confirm the selected student at the evaluation form of the internship position posted at the HiPEAC’s portal How many positions will be funded by HiPEAC?

HiPEAC expects to fund 15-20 internships per year, depending on the availability of funds, the number of internships offered by the companies and the suitability of candidates for the internships. This final decision is confirmed by the HiPEAC Steering Committee. What do I have to do if I am awarded an internship?

Companies will notify successful applicants both to the student and to HiPEAC. To be be contacted by a HiPEAC representative.

  • In case of HiPEAC funded internships for SME and start-ups, an internship agreement confirming the mobility dates and the amount and conditions of the HiPEAC grant will need to be signed by HiPEAC, the host company, the student and his/her supervisor. The host company will agree with the student / the student’s university / research centre any further arrangements, if needed, outside of the HiPEAC framework.
  • In case of large companies or non-HiPEAC funded internships, the student will receive a discount voucher for for attending a HiPEAC activity (Conference or Summer School)

What do I have to do after the end of the internship?

The student commits to sending an activity report and a copy of his/her travel tickets within two weeks after the end of the internship. A summary of the internship will be made publicly available on the HiPEAC website.

Can I get a HiPEAC funded internship in my home country?

Yes, but on the condition that the location of the host institution requires the intern to rent an apartment/house in the host city. Students cannot use the HiPEAC grant to do an internship while staying in their own city. The grant is paid as a per diem that should be used to cover additional expenses you have because of a stay away from home.

This restriction is not applicable for the rest of internships, which are managed according to the companies’ internal best practices

Visa arrangements

HiPEAC will expect companies to organize any possible visa arrangements directly with the candidates – if they need it. Companies will notify in the description if they can offer support for visa arrangements.
